Tip 1: Remember that everyone has different needs

This is often overlooked, but considering your daily tasks is very important for improving time management. A manager overseeing 25 employees has different needs and a different definition of “time management” than a lawyer or a web developer. This is because the nature of each profession’s work varies.

So, always start from your own perspective and reflect on how time management applies to your day and tasks. This is also about setting priorities.

Tip 2: Divide your time into blocks in advance

One of the most recommended ways to improve time management is to divide your time into blocks. These blocks can be adjusted to your work, such as 15-30 minute blocks for smaller tasks like emailing or calling, and 2-4 hour blocks for tasks like programming or writing.

Make sure to have several blocks of different durations in one day. For example, two 2-hour blocks, two 1-hour blocks, and two 30-minute blocks. You can also use the remaining time as overflow for the blocks. To-do lists can be helpful here.

Tip 3: Schedule your time blocks logically

Are you most productive in the morning or later in the day? Keep this in mind when planning your day. Schedule longer blocks during your most productive times, which ensures that you’re working with optimal focus during the ‘important’ blocks. This leaves ‘smaller’ blocks for the less productive parts of your day. This is partly dependent on your personal effectiveness throughout the day.

Tip 4: Minimize distractions related to other time blocks

If you’re in a 2-hour block with a specific goal, avoid tasks that belong to other blocks (such as emails or other tasks). Any task unrelated to the current time block is a distraction. Only pick up other tasks once your current block of worked hours has ended.

Tip 5: Evaluate your progress every month

Nothing works better than experimenting with different time management options. It’s unlikely that you’ll find the perfect solution in your first experiment. Additionally, it’s normal for tasks to evolve, resulting in changing needs for your time.
